I was invited to speak at La Escuela Latinoamericana de Relatividad y Astrofísica (ELRA) 2021 today and give some advice for applying for graduate school and postdocs in astronomy and astrophysics. I pre-recorded the talks, which you can watch below! This advice is based on my own experience in the US, Canadian, and Dutch higher education systems.
If you’re an undergraduate physics/astronomy major in the US or Canada and a gender minority (woman, non-binary, etc.), sign up to attend the Conference for Undergraduate Women in Physics (CUWiP)! It’s a 3-day regional conference Jan 18-20, 2019 held at 12 locations across the US and Canada, so there’ll be one not too far from you. You can look up the CUWiP hosting universities here.
At Michigan State University (for students in Michigan, Indiana, Kentucky, Ohio, and western Pennsylvania) I’ll be involved in a panel/workshop on mental health! Take a look at a seminar I gave in May 2018 at MSU on mental wellbeing for early career researchers (note that many of the university resources are MSU-specific). Mental health issues are alarmingly common for early career researchers (students and postdocs), so raising awareness and connecting people to resources are very important.
I’m at COSPAR 2018 in Pasadena, CA this week! COSPAR is a giant meeting with 3,500+ attendees from all around the world spanning all aspects of astronomy, astro-particle physics, space physics, solar physics, astrobiology, and any other science from low-Earth-orbit to the edge of the universe. COSPAR 2018 is Pasadena’s largest-ever scientific conference! It can be a bit overwhelming, so here are some tips for networking at and navigating such a meeting.
“Networking” means making friends/acquaintances with nice people who do interesting science. That’s really all it is! Quick conversation starters: ask them what their latest paper was on, students are working on, and/or side projects are. It’s ok to ask simpler/broader subject questions!
Email people you’d like to meet and ask to meet them for lunch or coffee, and tell them when your poster/talk is.
If it’s your first time at a very large meeting, attach yourself to someone a little more senior than you who you know well (senior grad student, postdoc) and ask them to introduce you to people at coffee breaks and bring you along for meals the first day.
Tag along for meals even if you just met the people! Saying “mind if I join you for lunch?” or “mind if I join you for dinner?” is a totally normal thing to ask at conferences.
Get dinner with colleagues on the majority of the evenings. Mix it up: sometimes with grad students, sometimes some postdocs and profs in the mix. Take evenings for yourself when you need them, but don’t miss out on this part of networking.
Attend the keynote talks. They’re often quite interesting, and people will generally be talking about them at coffee breaks and whatnot.
Try going to a session block that sounds really interesting and is totally out of your wheelhouse. Also go to a session block or two in a related topic to broaden your understanding of your own subtopic. This is one of those great things you can only do at very large, broad meetings like COSPAR!
Prepare an “elevator pitch” (one to two sentence non-jargon summary) if someone asks what your research is on.
Giant 9-day-long conferences can be exhausting, even for the most extroverted among us. Try not to skimp on your usual basic self-care like eating regular healthy meals, getting plenty of sleep at night, and exercising once or twice a week (even just 20 minutes of youtube yoga in your hotel room).
Don’t feel bad about skipping sessions. Acknowledge now that you won’t see All The Talks.
Spend time making new conference buddies and seeing old ones.
Take a nap if you need to! At one of the big AAS winter meetings, I took a nap every day.
Eat a vegetable every day. Your body needs it.
Drink plenty of water.
Try to not go over your usual caffeine & sugar intake. I know, I know, that’s what coffee breaks are for…but try not to go overboard. Doing this helps me manage anxiety better and sleep reasonably well with the jetlag.
Struggling with your mental health at a conference can be more taxing than usual. Reach out to friends (at the conference and at home), and take time to do whatever helps you when you’re at home. Generally people don’t pry and we all know everyone else is busy, but if you need an excuse to get out of something, you’re “not feeling great, but will catch up tomorrow/the next day/after my talk.”
I’m at the stage of my PhD where I’m finishing research for and writing up my last two chapters (and then putting together a broad intro and conclusion for everything), and writing two fellowship applications, and sometimes I have trouble focusing on what I’m working on. I asked my wonderful friends on Twitter and Facebook who’ve written theses and papers for their advice, and it’s all so good! So I’m sharing it with you! It has been lightly edited for flow.
(And yes, I know I’ve written two theses and two first-author papers before. Apparently I’ve blocked it out.)
Make a plan
“Maybe make an outline with just the section, subsections, etc first, and then fill in. It’s actually a good idea to do that as soon as you are pretty sure the results will turn into a paper.” – Tom Maccarone via Facebook

“When I have a big deadline, I find it helpful to really use a daily planner and write in everything, especially those things that always seem to distract me (social media, email, housework, etc). I give myself a set time of the day to check email or Facebook. Break it into bite-sized chunks

“Break it down into small chunks and have lots of treats to keep you going. Stu usually had a chocolate bar in the car for me when he picked me up from the office. Also, it’s hard but take a small break either when you can or get someone to make you take one. So don’t eat at the desk, grab lunch or a coffee elsewhere. Gives you a chance to come back fresh. Just start writing
“Try a free write. For me, this works best with pen and paper in longhand. It works like this, just set a goal. It can be time (e.g. 10 minutes) or a number of pages (e.g. 3, longhand) and write whatever comes to mind. Write all the distracting thoughts. Write your dream from last night. Write how much you hate writing. Write what you wish you could write in your thesis. I find this gets all those distracting thoughts out of my head. Most of that I write in my free writes is crap. But occasionally something good comes up. And when that does, I just copy to my computer. But I don’t expect anything there to be good.” – Rachel Frey via Facebook

Take frequent breaks
“On big projects, I set a timer for 20 minutes, write as many words as I can in 20 minutes, & edit it later. Easier to edit than from scratch.” – Diana Crow via Twitter
“Something like the Be Focused mac app where you only focus on a specific task during each, say, 25 minute slot and don’t do anything else. Then take a break when the time is up. This helps me so much when I’m really struggling to focus.” – Emily Petroff via Facebook
“I don’t use it myself, but I know a lot of people who use the Pomodoro timer. It makes you work for 25 minute blocks of time and then take a break. Good to use if you feel like you don’t know where to start or the project feels too big.” – Emma Gonzalez-Lesser via Facebook

Mix it up!
“Switch locations where you’re doing the writing, for me it’s easy to burn out a place and get into an unproductive rut. When I was writing my thesis I’d rotate between the office, the Library, home, and a coffee shop as I burned each place out. “Have a token or clothing item that you only wear while you’re working on your thesis. I had a thesis scarf that when the scarf went on it was time to work. “Okay this may sound crazy but I was once in a class where we did yoga for focus and it was really helpful. You do like 2-3 minutes of sun salutations while focusing on a small goal, then immediately sit down and do it. “Making your work environment as pleasant as possible is important. Whatever makes you feel good…a nice flower on your desk, scented candles, pictures of your loved ones, a hot cup of coffee… Whatever it is, but put it on your desk and make your work place your favorite place to go to. Also when I lacked inspiration, I would just take a break, walk through the woods and get back to work later. If you’re into essential oils….lemon and peppermint help with focus and mood! Writing this up as a blog post was one of my treats to myself for fixing some giant tables and making a big detailed combo-plot!
